Understanding Leads

Leads are created automatically from calls and forms. View, filter, and manage leads with client details, property data, and status tracking.

Every time a customer calls to request a quote or book an appointment — or submits one of your online forms — Tinylawn creates a lead. Leads are the central way you track potential jobs from first contact to completion.


Where leads come from

Leads are created from two sources:

- Phone calls — When the AI receptionist identifies a call as a Quote Request or Appointment Scheduled, it extracts the caller's details and creates a lead automatically.

- Online forms — When a customer submits one of your booking or quote request forms, a lead is created from the form data.

Each lead shows its source (call or form) so you always know how the customer reached you.

Viewing your leads

Go to the Leads page to see all your leads in a searchable, filterable table.

Each lead includes:

Field

Client name

The customer's name

Property address

Where the work would be done

Status

New, Confirmed, or Cancelled

Requested date

When the customer wants the work done, or "Flexible" if no preference

Source

Whether the lead came from a call or a form

Last updated

How recently the lead was modified

Filtering and searching

- Search by client name to find a specific lead.

- Filter by status to focus on New leads that need attention, or review Confirmed and Cancelled leads.

Lead detail view

Click any lead to open its full detail view:

- Client information — Name, phone number, and email (if provided).

- Property address with a map view.

- Service needs — What the customer is looking for.

- Desired date and time — When they want the work done.

- Lead status — Update the status from here.

- Source — If the lead came from a call, you'll see a link to the call record with the full transcript and recording.

- Parcel boundary — A parcel boundary map of the property's address. This is useful to determine the extent of the property and its surroundings.

- Property images — Photos uploaded by the customer or pulled from property data.

- Virtual site visit report — An AI-powered virtual site inspection of the property, parcel and visible structures. Includes an overview, lawn and landscape analysis, potential service challenges and service recommendations based on its observations.

- Driving distance — The driving distance and estimated time to the property from your primary business location.


Lead statuses

Status

Meaning

New

Just created — needs your review and follow-up

Confirmed

You've accepted the job or confirmed the appointment

Completed

You've completed a previously confirmed appointment

Cancelled

The lead was cancelled by you or the customer

Update a lead's status from the detail view as you work through your pipeline.

Bulk actions

Select multiple leads from the list to delete them in bulk. This is useful for cleaning up old or irrelevant leads.

Tips

- Check the Leads page daily to stay on top of new opportunities.

- Leads marked "Needs Follow Up" on the Calls page didn't have enough information to create a full lead — follow up with those callers manually.

- Property data (lot size, square footage, satellite images) is enriched automatically after a lead is created, so check back if it's not available right away.
